Terms of Service

These Terms of Service explain the rules that apply when you access SenteNote, create an account, subscribe to a workspace or use SenteNote features.

1. Acceptance of These Terms

By accessing SenteNote, creating an account, joining a workspace or using any SenteNote feature, you agree to these Terms of Service and the published Privacy Policy.

If you do not agree to these terms, you should not use SenteNote.

2. Who May Use SenteNote

You may use SenteNote only if you are legally able to enter into an agreement and are authorised to provide the information you enter into the platform.

If you use SenteNote on behalf of a business, organisation, property owner, event committee or another person, you confirm that you have authority to act on their behalf.

3. Accounts and Security

You are responsible for providing accurate account information, protecting your login details and keeping your contact information current.

You must not share credentials in a way that allows unauthorised access. You should notify SenteNote if you believe your account or workspace has been accessed without permission.

SenteNote may require email verification or other authentication checks before allowing access to certain features.

4. Workspaces

SenteNote provides specialised workspaces for different operational needs, including Retail, Rental Property, Real Estate and Event Planner.

Each workspace has its own subscription, plan, limits, members, permissions, payment history and status.

One account may own or access multiple workspaces, including more than one workspace of the same type.

5. Workspace Owners, Members and Permissions

Workspace Owners control membership, roles and access within their workspace. Owners are responsible for inviting authorised users and assigning suitable permissions.

A user may hold different roles in different workspaces.

Users must not attempt to access records, files or features outside the workspaces and permissions assigned to them.

6. Subscription Plans

SenteNote currently offers Starter, Growth and Premium plans. Features, usage limits and report access vary by plan.

Each workspace subscribes independently.

Available billing durations may include monthly, quarterly, yearly and two-year terms. Discounts may apply to selected billing durations and may change for future purchases.

7. Subscription Payments and Approval

During the initial release, SenteNote subscriptions are paid manually using the Mobile Money instructions shown during onboarding, renewal or plan change.

A user must submit the requested payment reference and proof for review.

A workspace is not activated, renewed or upgraded until the payment is reviewed and approved by an authorised SenteNote Platform Super Admin.

Submitting payment proof does not by itself confirm that payment has been accepted.

8. Payment Information

You are responsible for submitting accurate payment information and proof relating to the correct workspace.

Each payment is linked to one workspace only.

SenteNote may reject or request clarification where payment proof is incomplete, incorrect, duplicated or does not match the expected amount.

9. Activation, Renewal and Expiry

Approved subscription payments activate or extend the related workspace for the selected billing duration.

Workspace access may become restricted, read-only, suspended or expired when a subscription ends or where payment remains unresolved.

Renewal pricing may differ from the amount previously paid because plans, discounts or available billing options may change.

10. Plan Changes

Workspace Owners may request a different plan where the feature is available.

Plan upgrades, downgrades and renewal changes are subject to the current pricing, limits and activation rules displayed at the time of the request.

SenteNote does not guarantee proration or automatic credit unless that behaviour is explicitly shown during the plan-change process.

11. Reports and Exports

Growth and Premium plans may include contextual PDF exports.

Growth historical reports are generally limited to up to three calendar months, while Premium may support the full available history.

Current snapshot reports and selected-event reports may not be subject to the historical period limit.

Reports are generated from the information stored in the workspace. Users are responsible for reviewing exported information before relying on or sharing it.

12. Customer and Workspace Data

You retain responsibility for information entered into your workspaces.

You confirm that you have the right and authority to collect, store and use information about customers, tenants, clients, guests, suppliers, employees or other individuals entered into SenteNote.

You must not upload unlawful, misleading, infringing or unauthorised content.

13. Acceptable Use

You must not use SenteNote to:

  • break applicable law
  • access another user's account or workspace without permission
  • upload malware, harmful code or unlawful files
  • interfere with the platform's operation or security
  • attempt to bypass plan limits, permissions or payment controls
  • impersonate another person or organisation
  • submit fraudulent payment information
  • use SenteNote to harass, exploit or harm another person
  • copy, resell or reverse engineer the platform except where permitted by law.

14. Files and Documents

You are responsible for files uploaded to SenteNote and must ensure you have permission to store and share them.

SenteNote may restrict file types, sizes or access where necessary for security, reliability or platform operation.

Private workspace files should only be shared with authorised workspace members.

15. Service Availability

SenteNote aims to provide reliable access but does not guarantee uninterrupted or error-free service.

Access may be interrupted for maintenance, security updates, infrastructure problems, account issues or circumstances outside SenteNote's reasonable control.

Where practical, SenteNote may use public or in-platform announcements to communicate important interruptions.

16. Changes to SenteNote

SenteNote may add, change, limit or remove features, workspace modules, plan limits, pricing or technical requirements.

Changes affecting active subscriptions will be handled according to the information displayed in the platform and any applicable legal obligations.

SenteNote may release improvements gradually and may not make every feature available to every plan or workspace at the same time.

17. Intellectual Property

SenteNote, its design, software, branding, documentation and original platform content are protected by applicable intellectual-property laws.

These terms do not transfer ownership of SenteNote or its software to users.

Users retain responsibility for and rights in their own workspace data, subject to the permissions needed for SenteNote to host, process and display that data as part of the service.

18. Suspension and Termination

SenteNote may restrict, suspend or terminate access where necessary to address unpaid subscriptions, security risks, unlawful activity, serious misuse, repeated policy violations or threats to the service or other users.

Where reasonable, SenteNote may provide notice or an opportunity to resolve the issue.

A restricted workspace may remain visible in a limited or read-only state according to the platform's current subscription rules.

19. Account Deletion

Users may permanently delete their account through the available account settings.

A user who is the only Owner of a workspace must first transfer ownership or resolve that workspace.

Permanent account deletion removes the authentication identity and personal account information. Shared financial, operational or audit records may be retained and anonymised where needed to preserve workspace integrity.

20. Disclaimers

SenteNote is a management tool and does not provide legal, tax, accounting, financial, property or professional advice.

Reports, totals, reminders and calculations depend on the information entered by users.

Users are responsible for checking the accuracy of their data and obtaining professional advice where needed.

21. Limitation of Liability

To the extent permitted by applicable law, SenteNote is not responsible for indirect, incidental, special or consequential loss arising from use of or inability to use the service, loss of data, business interruption, user error or unauthorised access outside SenteNote's reasonable control.

Nothing in these terms excludes liability that cannot legally be excluded.

22. Your Responsibility for Claims

To the extent permitted by applicable law, you are responsible for claims, losses or costs arising from unlawful use of SenteNote, unauthorised content, violation of another person's rights or breach of these terms.

23. Third-Party Services

SenteNote may rely on third-party providers for hosting, authentication, storage, communications, monitoring or related infrastructure.

Third-party services may have their own terms and privacy policies.

SenteNote is not responsible for third-party services that users access independently outside the platform.

24. Changes to These Terms

SenteNote may update these Terms of Service as the platform, pricing, legal requirements or business practices change.

The updated terms will be published on this page with a revised last-updated date.

Where a change is significant, SenteNote may also provide a public or in-platform notice.

25. Governing Law and Disputes

These terms are governed by the laws identified by SenteNote in the final published legal settings.

Before launch, SenteNote should replace this section with the legally reviewed governing jurisdiction and dispute process that apply to the business operating the platform.
