Privacy Policy

This policy applies to visitors to the SenteNote public website, people who create an SenteNote account, workspace Owners and invited workspace members. It also applies when you contact SenteNote for support or submit information during workspace setup, subscription payment or account management.

We may collect information that you provide directly, including your name, email address, phone number, account credentials, workspace details, business or organisation information, support messages and any other information you choose to enter into SenteNote.

When you submit a manual subscription payment for review, you may also provide a payment reference, payment amount and proof of payment. SenteNote does not currently collect card numbers or card security codes.

SenteNote stores information entered into the workspaces you use. Depending on the workspace type, this may include products, sales, customers, suppliers, tenants, rent records, properties, units, estates, plots, client payments, event guests, budgets, pledges, expenses, tasks, suppliers, documents and related operational records.

Workspace data is controlled through workspace membership, roles and permissions. Users should only enter information they are authorised to manage.

You may upload files such as payment proof, receipts, property or tenant documents, event documents, support attachments, logos and other workspace files. Access to private files is restricted according to workspace access and platform permissions.

You should not upload information that you do not have the right or authority to store or share.

When you use SenteNote, limited technical information may be collected automatically, such as browser type, device type, IP address, session information, authentication activity, application errors and basic usage information needed to operate, secure and improve the service.

SenteNote may use cookies, local storage or similar browser technologies to keep you signed in, remember selected workspaces and preserve necessary application preferences.

We use information to:

• create and manage user accounts
• provide and secure SenteNote workspaces
• process and review subscription payments
• activate, renew, restrict or suspend workspace access
• apply plans, limits and permissions
• provide customer support
• generate reports and operational records
• maintain audit and activity history
• prevent misuse, fraud or unauthorised access
• diagnose errors and improve platform reliability
• comply with applicable legal obligations.

Information inside a workspace may be visible to other authorised members of that workspace according to their assigned role and permissions. For example, an Owner may invite a Manager or Staff member and grant access to specific operational areas.

Workspace Owners are responsible for managing membership and ensuring that invited users are authorised to access the information in that workspace.

SenteNote may use trusted service providers to operate the platform, including hosting, database, authentication, file storage, email-delivery, monitoring or similar infrastructure services.

These providers may process information only as needed to provide their services to SenteNote and are subject to their own terms and privacy obligations.

During the initial release, SenteNote subscription payments are submitted manually using the payment instructions shown in the platform. Users may upload a payment reference and proof for review by an SenteNote Platform Super Admin.

Payment proof and payment details are used to review the transaction and activate or renew the related workspace. Payment records may be retained as part of subscription, accounting and audit history.

SenteNote uses technical and organisational safeguards intended to protect information from unauthorised access, alteration, loss or misuse. These safeguards include authenticated access, workspace-level isolation, roles and permissions, protected private files and server-side validation for sensitive actions.

No online service can guarantee absolute security. Users should protect their passwords, sign out from shared devices and notify SenteNote if they suspect unauthorised access.

We retain account, workspace, subscription, payment and operational information for as long as needed to provide the service, maintain legitimate business and audit records, resolve disputes and meet applicable legal requirements.

Retention periods may differ depending on the type of information, whether a workspace remains active and whether records are required to preserve financial or operational history.

Users may request permanent account deletion through the available account settings. Account deletion removes the user’s authentication identity and personal account information, subject to any required workspace-ownership checks.

A user who is the only Owner of a workspace must transfer ownership or resolve that workspace before deleting the account.

Shared workspace records that are required for financial, operational or audit integrity may be retained and anonymised rather than deleted. A deleted user may appear in retained history as “Deleted user”.

Depending on the laws that apply to you, you may have rights to request access to, correction of or deletion of certain personal information, or to object to or restrict certain processing.

You may update available account information through SenteNote settings, manage workspace access through roles and permissions, or contact SenteNote to ask a privacy-related question.

Some information may need to be retained where required for legal, security, financial or operational purposes.

SenteNote may be accessed from different countries. Information may be processed or stored in locations where SenteNote or its infrastructure providers operate.

By using the service, you understand that information may be handled outside your country of residence, subject to applicable safeguards and legal requirements.

SenteNote is intended for business, property-management, real-estate and event-management use. It is not designed for children to create independent accounts.

Users who enter information about guests, tenants, customers or other individuals are responsible for ensuring that they have an appropriate basis for doing so.

We may update this Privacy Policy when SenteNote features, legal requirements or data-handling practices change. The updated policy will be published on this page with a revised last-updated date.

Where a change is significant, SenteNote may also provide an in-platform notice.
